Set up Smart Reorder
Smart Reorder works out of the box with sensible defaults. The more your settings match how you actually buy, the better the recommendations. Settings are applied from the next calculation: click Recalculate on the Smart Reorder page to see the effect right away.
1. Shop defaults: Settings > Smart Reorder
Go to Settings > Smart Reorder. Leave a box empty to use the default.
| Setting | Default | What it means |
|---|---|---|
| Default lead time (days) | 14 | Days from placing an order until the goods arrive. Used when the supplier has no lead time of its own. |
| Default order cycle (days) | 30 | How often you place orders with a supplier. 30 = about once a month, 7 = every week. Each order is sized to cover sales until the next order arrives. |
| Safety stock (days of sales) | 7 | Extra stock kept to cover sudden demand or late deliveries, expressed in days of sales. With 7 days and a product selling 2 a day, the safety stock is 14 units. |
| Overstock threshold (days of stock) | 120 | Products with more stock than this many days of sales are marked Overstock. Allowed range: 30–730. |
| Sales speed calculation | Weighted | How the average daily sales are worked out. Weighted (recommended) gives the last 30 days the most weight, so recent changes show up quickly. You can also use only the last 30, 60 or 90 days. |
| Use min/max stock from Locations | Yes | Use the min and max stock you set in Stock In Locations. Min stock is the lowest level you want to reorder at, max stock caps the recommended stock level. |
| Include products without a supplier | Yes | Products not assigned to any supplier are still recommended, and grouped into one PO without a supplier. Choose No to hide them. |
A longer order cycle means bigger, less frequent orders. A shorter one means smaller, more frequent orders and less cash tied up in stock. Use the rhythm you actually order at.
2. Per supplier: lead time, order cycle, minimum order amount
Open a supplier (Suppliers/Vendors > Suppliers, then click the supplier). The Replenishment block has:
- Lead time (days): how long this supplier usually takes to deliver. Leave it empty to use the shop default.
- Order cycle (days): how often you order from this supplier. Leave it empty to use the shop default.
- Minimum order amount: if the recommended order for this supplier adds up to less than this amount, the Create PO window shows a warning Below minimum order amount. You can still create the PO.
The lead time also sets the expected date on the purchase orders created from Smart Reorder.
3. Per product: MOQ and pack size
For suppliers you assign products to manually, you can set a minimum order quantity (MOQ) and a pack size for each product, by CSV:
- On the supplier page, click Export Products. On the Ultimate plan, the CSV has two extra columns:
moqandpack_size. - Fill in the values. For example,
pack_size12 if the supplier sells by the case of 12,moq100 if they won't take an order under 100 units. Leave a cell empty if it doesn't apply. - Import the file back with Import Products on the same page.
The recommended quantity is then rounded up to a whole number of packs, and raised to the MOQ if it's lower. For example, a need of 30 units with a pack size of 12 becomes 36. With an MOQ of 50, it becomes 50.
MOQ and pack size apply to suppliers with manually assigned products. They aren't available for suppliers that work by vendor.
4. Min/max stock: Stock In Locations
Smart Reorder uses the min and max stock set for All Locations in Inventory > Stock In Locations (set them one by one or import them by CSV). See Stock In Locations.
- Min stock: the stock level at which you always want to reorder. A product at or below its min stock is recommended for ordering even if the sales speed alone wouldn't trigger it, and even if it hasn't sold recently.
- Max stock: a ceiling. The recommended stock level never goes above it.
Turn Use min/max stock from Locations off in Settings > Smart Reorder to ignore them.
Auto-create PO always orders up to max stock as soon as a product drops below min stock. Smart Reorder instead orders what you'll sell until your next order arrives, and uses max stock only as a ceiling. Smart Reorder also counts stock already on order (incoming). Min/max defaults set for Auto-create PO aren't used by Smart Reorder.
5. Suppliers and costs
Smart Reorder picks the supplier and unit cost from what you've already set up:
- Products assigned to a supplier, either manually or through the supplier's vendors.
- The price in the supplier's product list. If there's none, the product's cost in Shopify is used, but only when the supplier uses the same currency as your shop. Prices are never converted between currencies. If there's no usable cost, the table shows "—" and the PO line takes the supplier's price later if one is added.
See How recommendations are calculated for how the supplier is chosen when a product has several.
